Accepting a freelance project without a detailed description is one of the most common mistakes freelancers make. Often, clients don't know exactly what they need, resulting in vague prompts like "I need a website" or "make our branding look better." Without clarification, you risk scope creep, endless revisions, and a dissatisfied client. Knowing how to steer a poorly defined project back onto a structured path is crucial.
1. Stop Work and Ask Clarifying Questions
If you realize mid-project that the direction is unclear, do not keep working based on assumptions. Pause and schedule a brief meeting or send a structured email. Ask targeted, open-ended questions: What is the main goal of this asset? Who is the target audience? What are three examples of work you admire? This forces the client to define their requirements and gives you a concrete direction to follow.
2. Draft a Detailed Scope of Work Document
When the client cannot provide a clear description, you must write one for them. Summarize your understanding of the project goals, the exact deliverables, the number of revisions included, and the deadline. Send this "Scope of Work" document to the client and require their written approval before proceeding. Having a documented agreement protects you from future disputes about what was or wasn't included.
3. Present Concepts and Moodboards Early
Vague projects benefit greatly from visual or conceptual alignment. Before spending hours on high-fidelity designs or complete drafts, create two or three distinct style concepts, moodboards, or structural outlines. Present these to the client and ask which direction they prefer. This makes the project tangible and helps the client clarify their own tastes and expectations early on.
4. Establish a Strict Revision Process
Vague projects are prone to endless tweaks because the client is figuring out what they want as they go. To prevent this, clearly state in your contract how many revisions are included in the price (usually two or three). Explain that any feedback must be consolidated into a single document, and that additional revisions outside the agreed scope will be billed at your hourly rate.
5. Charge by the Hour for Highly Undefined Projects
If a client insists on starting a project immediately but cannot define the final deliverables, avoid proposing a fixed-price contract. Fixed prices only work when the scope is clearly defined. Instead, charge an hourly rate or a weekly retainer. This ensures that you are compensated for all the discovery sessions, brainstorms, and changes that naturally occur during undefined projects.
